A church sound system budget is not one number, it is seven, and the reason committees struggle is that the seven are usually presented as a single quotation with no way to judge whether the proportions are sane. The seven lines and what each one is for

Loudspeakers and subwoofers, 32 percent. The ceiling on everything else. No console, processor or microphone improves what an inadequate loudspeaker does in your room, and the coverage pattern matters more than the wattage. Spend here first and spend properly.

Amplification and processing, 12 percent. Sized to the loudspeakers, not to the room, at roughly 1.6 to 2 times the continuous rating of the box. Under-powering blows more drivers than over-powering does, because a clipped small amplifier sends sustained near-direct current into a tweeter.

Wireless microphones and antennas, 15 percent. The line with a recurring cost attached, in batteries and in spectrum that keeps shrinking. Wired microphones and direct boxes, 6 percent, cheap and durable and the thing most often missing entirely. Monitoring, 9 percent, skipped at your peril because stage volume is a house mix problem. These are audio figures only and exclude video, projection, livestream and acoustic treatment, each of which is a separate budget. They also exclude installation labour, structural engineering for flown loudspeakers and any electrical work, all of which are real project costs.

What the proportions do not include

Four costs sit outside this table and catch churches out, because a quotation for equipment is not a quotation for a project. Installation labour, which for a permanent system is substantial. Structural engineering for flown loudspeakers, which is required before anything is hung over people and sometimes changes the loudspeaker choice. And acoustic treatment, which in a hard reverberant sanctuary may do more for intelligibility than any equipment line here.

Video and projection are a separate budget again. A projector, a screen, cameras, a switcher and the streaming path routinely total as much as a modest audio system. Keep them in a separate column so a committee can see the two decisions clearly rather than watching the video line quietly consume the loudspeaker line.

How to build the estimate

  1. Establish the room and the service style. Seat count, throw distance to the back row and the style of service the system serves. A contemporary band at 95 dBA needs roughly five times the amplifier power of a blended service at 88 dBA in the same room, which changes the loudspeaker and amplifier lines substantially.
  2. Size the loudspeakers and amplification first. Calculate watts per box from throw distance, loudspeaker sensitivity and the target level with 12 dB of headroom, then choose the coverage pattern from your seating width. This produces a real equipment list rather than a percentage, and the rest of the budget scales from it.
  3. Build the input list and price the console. Count every source with stereo inputs counted twice, add 25 percent growth, round up to a size that is sold. Then price that console rather than the one you would like, and check the result against the 16 percent share as a sanity test.
  4. Count wireless channels and check they fit. Count the channels you need and confirm the spectrum exists locally before pricing them, because the answer changes whether you buy analog or digital systems. Remember that in-ear monitor transmitters compete for the same spectrum as the microphones.
  5. Add the lines that always get cut. Cable, stands, racks, power conditioning, direct boxes and spares. These are roughly 10 percent of the audio budget and they are what turns a pile of equipment into a working system. A church that cuts this line spends the first year buying adapters.
  6. Add the project costs outside the equipment list. Installation labour, structural engineering for anything flown, electrical work by a licensed electrician, and acoustic treatment if the room needs it. Present these as their own section so nobody believes the equipment quotation is the project cost.
  7. Hold a contingency and check the proportions. Keep roughly 10 percent unallocated, then compare your line items against the percentage shares. What moves the total more than seat count does

Churches assume the budget scales with seats, and it scales with four other things at least as strongly. Service style is the largest. A contemporary band targeting 95 dBA needs roughly five times the amplifier power of a blended service at 88 dBA in an identical room, and that multiplies through the loudspeaker line and the amplification line together. Two churches with 300 seats each can legitimately differ by a wide margin on the same design.

Room shape is the second. A long narrow sanctuary needs a narrow pattern loudspeaker and may cover with two boxes. A wide fan-shaped room needs wider coverage and frequently a third box plus front fill, which is an extra cabinet, an extra amplifier channel and extra cable. The seat count is identical and the loudspeaker line is not.

Whether anything is flown is the third, and it is the one that appears late. Flown loudspeakers usually sound better because height covers rows evenly, and they bring a structural engineer, rated hardware and rigging labour with them. Loudspeakers on stands avoid all of that and cover less well. This is a genuine trade rather than a corner to cut, and it belongs in the budget conversation early because the answer sometimes changes the loudspeaker choice.

Permanent or portable is the fourth. A portable church buys road cases, heavier cable and stands it would not otherwise need, and skips installation labour, conduit and rigging entirely. The totals can be similar while almost every line differs, which is why comparing your budget against another church figure is rarely informative unless both variables match.

Reading a quotation from an integrator

Convert any quotation into these seven percentages before comparing it with anything. A proposal with 30 percent in the console and 20 percent in loudspeakers is selling you the wrong system, however good the brands are. A proposal with nothing in the infrastructure line has not included the cable it will need and will return with a change order.
